How to use a Kanban board

  1. Step 1

    Set up your columns

    Start with To do, In progress, and Done, then rename, add, reorder, or remove columns to match your workflow.

  2. Step 2

    Add cards

    Add a card for each task with a title and an optional description, priority, and due date.

  3. Step 3

    Set WIP limits

    Give busy columns a work-in-progress limit so the board blocks overloading and highlights bottlenecks.

  4. Step 4

    Move work forward

    Drag cards with a mouse or use the move buttons with touch or a keyboard. The board autosaves in your browser.

  5. Step 5

    Export and share

    Download the board as a PNG image or export every card to CSV for a spreadsheet or status report.

Tips for a Kanban board that keeps work flowing

  • Limit work in progress. Start with a WIP limit about equal to the number of people working the column. Raise it only if work regularly waits.
  • Map columns to real stages. Add Review or Testing only if work actually waits there. Fewer columns make bottlenecks easier to spot.
  • Keep the top of each column first. Order cards by what should happen next, and use priority for the few items that truly cannot wait.
  • Stop starting, start finishing. When a column hits its limit, help finish a card in it instead of pulling new work.

What is a Kanban board?

A Kanban board is a visual way to manage work. Each column is a stage, such as To do, In progress, and Done, and each card is a task that moves from left to right as it progresses, so everyone can see what is happening and where work is stuck.

What is a WIP limit and why should I use one?

A work-in-progress (WIP) limit caps how many cards a column can hold at once. When a column is full, this board blocks new cards and moves into it, which nudges the team to finish work before starting more and makes bottlenecks obvious.

Is my Kanban board private?

Yes. The board runs entirely in your browser and autosaves to this device's local storage. Nothing is uploaded, there is no account, and the board is never stored in cookies or on a server. Clearing your browser data deletes the board, so export a CSV if you want a copy.

Can I move cards without dragging?

Yes. Every card has buttons to move it up, down, or to the previous or next column, and they work with touch and with a keyboard. On a computer you can also drag cards between columns with a mouse.

How do I share or back up my board?

Download a PNG image to drop into a slide deck, chat, or status update, or export a CSV with every card's column, position, priority, and due date to open in a spreadsheet.
